How do you set destination wedding pricing?

When you are requested a quote for destination wedding, how are you setting price when you are expected to be there for multiple days?  

What percentage of food do you account for as example?  Travel and hotel will be covered, but what else?

1. Base Photography Rate: Start with your standard rate for the hours you'll actively be shooting. Don’t forget to include any additional sessions like rehearsals or brunches if they want those covered too.

2. Daily Rate for Non-Shooting Days: It’s typical to charge a lower daily rate for the days you’re present but not shooting. This compensates for the time you're unable to book other work because you're away for the wedding.

3. Expenses: Since travel and hotel are covered, that’s a great start. Besides these, consider:
  • Meals: If not provided by the hosting party, you can either include a per diem (a fixed amount per day for meals and incidentals) or calculate actual costs. A typical per diem could be around $50 to $75 per day, depending on the location.
  • Equipment Insurance and Rentals: Make sure any extra gear or insurance needed is factored into your quote.
  • Transportation Locally: If you need to rent a car or pay for taxis/rideshares while there, include this in your expenses.
  • Extra Fees: Sometimes, there are additional fees like visas or permits for shooting in certain locations. These should also be included in your pricing.
4. Delivery of Final Work: Outline what is included in the final delivery (e.g., number of images, albums, prints) and how much any extras would cost.5. Contingency Fee: It’s always wise to include a small contingency fee to cover unexpected expenses.When quoting, clear communication is key—make sure your clients understand what is included in your fee and what might be additional. This helps set clear expectations and ensures everyone is on the same page!
